Chat, Flows, Intelligence, Context, Resources and Governance. One platform, in your environment.

Chat, agents, flows, integrations and governance in a single installation, on your organization's infrastructure. Including networks with no internet access.

How it works

From installation to everyday use, in nine steps.

See how Aptabit Platform goes into operation at your organization: who takes part in each step, what appears on screen and what it delivers to the business. By the end, data, documents, processes and integrations run on a single platform, on your infrastructure.

Step 1 of 9:Installation

One command installs the platform on your infrastructure.

The IT team runs a single command, provided with the license. The guided installer checks the machine, asks a few questions with suggested answers and brings every platform service into operation. At the end, it shows the address to continue in the browser.

Who is involved: IT team

  • Wherever your operation runs.

On-premises servers, private or public cloud, the edge and networks without internet access.

  • With the hardware you have.

The platform runs on the server's processor and takes advantage of graphics cards (GPU) and artificial intelligence accelerators (NPU) when present.

  • Machine assessed before installation.

The installer checks the system, memory, disk and accelerators and indicates the size of the artificial intelligence models the machine can run.

Step 2 of 9:Activation

The organization activated in four steps, in the browser.

Once installation is complete, the administrator opens the platform in the browser, confirms the activation, enters the organization's name, creates their own account and reviews the details. The same step creates the first workspace: the space that brings together a team, its models and its content.

Who is involved: administrator

  • License activated during installation.

Automatic activation and renewal, or by file on networks without internet access.

  • With your organization's identity.

Company name or logo on the sign-in screen and at the top of the platform menu.

  • In each person's language.

Interface in nine languages, including Portuguese, English and Spanish, in light and dark themes.

Step 3 of 9:People and access

Each person accesses what their role requires.

The administrator adds people or connects the organization's corporate sign-in. For each person, they define the role, the modules they can use, such as Chat, Agents and Flows, and the workspaces they belong to. With the company's user directory connected, group rules grant this access automatically.

Who is involved: administrator

  • Corporate sign-in.

Sign-in with corporate accounts from Microsoft, Google and other identity providers, with no new password for each person.

  • Access from the company directory.

Group rules grant modules and workspaces and are applied at every sign-in.

  • A space for each team.

Each workspace brings together its members, the models enabled for it and the team's content, and each person has a personal area.

Step 4 of 9:Models and agents

The right models for your machine, and agents for every role.

A model is the artificial intelligence engine that reads, interprets and writes. It can run on the organization's servers or be contracted from a provider. When adding a model, the platform lists those compatible with the machine, highlights the best option and handles the installation. Building on the models, the administrator creates agents: assistants dedicated to a role, such as reviewing contracts, with instructions defined by the organization.

Who is involved: administrator

  • A wide choice of models.

More than 1,000 open models for text, code, images, audio and voice.

  • On-premises and cloud, side by side.

Models running on your servers and models from providers such as OpenAI, Anthropic and Azure OpenAI, enabled per workspace.

  • Agents published to those who need them.

Each agent starts as a draft and, once published, appears in Chat only for the chosen workspaces and people and can be used in flows.

Step 5 of 9:Knowledge

The organization's knowledge, ready to consult.

In the Storage module, where the platform keeps the organization's files, each team gathers documents and spreadsheets into contexts: collections organized by subject or by area, such as Contracts and Legal or Sales indicators. The platform reads and prepares each file for search. Answers draw on this content and record the documents they used.

Who is involved: teams

  • Documents of every kind.

41 file formats, including text, PDFs, Office documents, images, audio and video.

  • Search by meaning.

The platform finds the relevant passages even when the question uses different words.

  • Spreadsheets that answer with numbers.

Data contexts turn spreadsheets into tables the platform queries to answer with precision.

Step 6 of 9:Integrations

The organization's systems, connected to the platform.

In Integrations, the organization sets up connections to the resources the platform can use: enterprise systems, external services and physical devices that offer an integration interface (API). Each connection can then be used by flows, the platform's automations, with access control.

Who is involved: IT team

  • Ready-made connectors.

More than 99 ready-made connectors, in categories such as ERP, CRM, messaging, productivity and e-commerce.

  • Any system with an API.

Custom connections to systems and devices, tested right in the registration form.

  • Protected credentials.

Keys and passwords for each system stored with encryption.

Step 7 of 9:Chat

Questions answered from the organization's knowledge.

In Chat, each person chooses the model, agent or published flow that will assist them, and the context that should ground the answer. They can also attach documents, images, audio and video, speak through the microphone, turn on web search and receive spreadsheets, presentations and reports ready to download.

Who is involved: everyone with access

Documents, images, audio and video in the same conversation. Images are analyzed by a specialized model, and the audio of recordings and videos is transcribed. Attachments stay in a personal area that only the sender can see.
Web search, switched on per message. For questions that depend on current public information, web search complements the organization's knowledge.
Answers that become files. Spreadsheets, presentations, PDF reports and text files, ready to download.
Ask your tables in your own words. The platform queries the tables in the data context and shows, with the answer, the context it used and the query it ran.
The origin of every answer, on record. The model used and the documents consulted are recorded, with the relevance of each excerpt. Every answer can be copied and rated, and the exact material the model received to produce it can be viewed.

Step 8 of 9:Flows

Entire processes automated, from request to result.

A flow is an automation built in steps, in a visual editor. It receives a request, consults the organization's knowledge, analyzes it with a model or an agent, makes decisions based on objective rules and delivers the result or triggers other systems. Intelligence, data and systems work together in every process.

Who is involved: teams

  • A ready starting point.

30 ready-made flows to adapt, in areas such as credit and risk, customer service, documents, compliance and legal, HR and sales.

  • Triggered where work happens.

From Chat, from other systems in the organization or on a schedule, at intervals of minutes, hours or days.

  • Every run recorded.

The history keeps the path taken and the result of each step.

Your data, on your infrastructure.

Step 9 of 9:Governance

Transparency and control over every interaction.

Documents, conversations and knowledge bases remain in the organization's custody. Every answer records the model and the sources behind it, and every flow run keeps the history of its steps. The audit trail records sign-ins, permission changes and data queries.

Who is involved: administrators and auditors

  • The origin of every answer.

Model and sources recorded with every answer, and indicators that show administrators how many answers have a documented origin.

  • A complete audit trail.

Access, permissions, data queries and deletions recorded for review and accountability.

  • Usage and quality monitored.

Usage per person, answer ratings, information retention periods and data quality issues, each issue with its own action plan.

Licensing

Predictable cost. You pay only for flows in production.

Billing counts only the automations published to production, that is, in use in day-to-day operations, and does not grow with the number of people using the platform.

  • No per‑user fees
  • No fees per model query
  • No storage fees
  • No usage fees
